PTA Officer Descriptions
President
Volunteer time per week: 2-3 hours
Duties:
- Schedule and facilitate PTA meetings.
- Incorporate and follow "Robert's Rules of Order" during the PTA meetings.
- Compile meeting agenda and forward to Secretary.
- Write "From the PTA President" article for monthly PTA newsletter.
- Write promotional material for PTA activities.
- Discuss PTA activities and benefits during Back to School Night.
- Meet with the principal to plan PTA activities.
- Work with the treasurer to define financial and check writing procedures.
- Work with PTA officers to develop policies and procedures for PTA events and programs.
- Provide an update during PTA meetings.
Vice President
Volunteer time per week: 1-3 hours
Duties:
- Work with PTA President on PTA programs, events and matters.
- Ensure that the meeting agendas and minutes reflect the needs, goals, and accomplishments of the PTA programs.
- Assume the role of President in the absence or resignation of President.
- Oversee PTA fundraising activities.
- Provide an update during PTA meetings.
Treasurer
Volunteer hours per week:
Duties:
- Prepare annual budget with assistance from the PTA members, officers and chairpersons.
- Prepare monthly Treasurer's Report for distribution during PTA meetings.
- Conduct, with PTA Officers and staff, annual audits of PTA finances.
- Work with hired accountant or tax professional to prepare the annual IRS tax reporting.
- Keep canceled checks, paid bills, receipts, and bank statements for annual audit.
- Make disbursements as authorized by the president, executive board, or association in accordance with the budget adopted by the association.
Secretary
Volunteer hours per week:
Duties:
- Work with the President to compile and distribute monthly PTA agendas.
- Take meeting minutes at each PTA meeting and distributes them to members.
- Post PTA monthly meeting announcements in the school.
- Provide and record monthly sign-in sheets. Distributes record to the President and the Membership Chairperson.

Many of these committees may be managed by two volunteers acting as co-chairpersons.
Membership and Volunteers
Volunteer time per week:
Duties:
- Promote PTA membership and programs through letters, articles, flyers and the PTA Membership Drive.
- Collect membership data and shares it with PTA officers and chairpersons.
- Develop membership and volunteer forms to coordinate PTA activities.
- Provide a list of volunteers to each PTA Chairperson.
- Provide and distributes the PTA volunteer survey and registration form in weekly blue folders.
- Distribute PTA membership cards to members.
- File a membership report with the Colorado PTA.
- Provide an update during PTA meetings.
Fall Carnival
This family and community event, typically held in September or October, is open to all members of the Steele community. It is a day of fun, food and friends outdoors on the school grounds.
Volunteer hours per week:
Duties:
- Work with the principal and PTA staff to determine the date.
- Coordinate and promote the event though flyers, Bits and Pieces, Thursday folders, articles and word of mouth.
- Organize volunteers to staff and coordinate the carnival games and activities.
- Determine activities and booths for the carnival, such as bouncy castle, shoe kick, and cakewalk.
- Provide refreshments, including barbeque, drinks, and snacks.
- Provide an update during PTA meetings.
Bookies Night
The Bookies is a local educational supply and bookstore that hosts a Steele fundraiser called "Bookies Night" in November. They donate a percentage of sales to Steele Elementary to be used for Library needs.

- Work with the principal and The Bookies to determine the date of the event.
- Work with the Hospitality chairperson to coordinate food, drinks, and desserts.
- Organize promotions and write articles for newsletter and flyers for Thursday folders.
- Provide an update during PTA meetings.
Popsicle Social
This event occurs on the Friday before school officially starts. It is an opportunity for new and existing families and students to meet their classmates and teachers. Often, the teachers set up a location to have all their classroom students get together and meet each other.
Volunteer hours per week:
Duties:
- Work with the principal to determine the time, location and date for the event.
- Organize flyers and articles.
- Organize hospitality staff, and location for refreshment distribution.
- Select a Steele teacher to coordinate individual classroom gathering places, nametags, grade level and room numbers.
- Provide an update during PTA meetings.
Classroom Parent Organization
Classroom parents help with classroom party planning, maintain a contact list, and help schedule parents to help with reading, math and one-on-one tutoring. The classroom parent may also help with scheduling field trips, assisting with book orders and classroom decorations.

- Work with the teachers to identify parents who can assist each teacher.
- Work with each teacher to determine who, and if, the teacher wants a classroom parent.
- Contact parents and select someone to fill the position (it may be a shared position).
- Keep the classroom parents informed regarding PTA activities and programs, usually by email.
- Provide an update during PTA meetings.
Reflections Art Contest
Reflections is a National PTA-sponsored art recognition program for schoolchildren.
Volunteer hours per week:
Duties:
- Gather material from PTA brochures and distribute flyers, newsletter articles, Thursday Folder information, and posters.
- Work with Steele teachers to promote student involvement.
- Collect entries and submit them to the PTA regional office in Lakewood.
- Display entries throughout the school.
- Publicize the names of Steele award winners.
- Provide an update during PTA meetings.
Sally Foster Giftwrap Fundraiser
Sally Foster is a fundraising event that allows families and friends to purchase holiday gifts, books, games and wrapping items by paper sales or internet sales.
Volunteer hours per week:
Duties:
- Decorate the school to publicize the fundraiser.
- Distribute packets, catalogs and forms, to each student.
- Submit reminders in the Thursday folders.
- Collect packets and tally forms.
- Assist the Sally Foster company to distribute items sold to students.
- Log individual and classroom sales.
- Provide an update during PTA meetings.
RIF - Reading is Fundamental
RIF is a national program that encourages children to read. The PTA purchases hundreds of books and every child is allowed to choose one book to take home and keep.

Duties:
- Work with the principal and RIF to schedule a day, time and location for the event.
- Select and order books through RIF.
- Display the books and maintain records of book selections.
- Work with the teachers to organize a time when each class, one class at a time, where each student can choose a book.
- Provide an update during PTA meetings.
Silent Auction
The silent auction is an annual event that raises funds to provide a second educator in each classroom.

Duties:
Subcommittee chairperson positions are listed below.
- Logistics: Investigate locations to host the event.
- Procurement: Determine how to display items during the auction. Contact families, friends, businesses, restaurants, service oriented shops, flower shops, gift stores, etc. to solicit a tax-deductible item for the auction.
- Refreshment: Investigate food service organizations that can provide appetizers, drinks and staffing for the evening.
- Check in/out: Coordinate the auction participants and track what they buy.
- Reception/Greeting: Organize persons to meet and greet everyone who comes to the event, distribute goodie bags as they leave and briefly explain where everything is.
- Entertainment: Research possible entertainment venues for the event based on the budgeting.
- Data Entry: Input data on items donated, price, sale price, who bought the items and navigate how buyers will obtain the items they purchased.
- Decorations: Work with volunteers to determine a theme and decorations.
- Media Promotions: Promote the auction to the community by means of flyers, posters, newspaper articles, word-of-mouth, and Steele staff support promoting the event.
School Directory
Each year the PTA compiles and provides a directory of students and their addresses and phone numbers to the Steele community.

- Develop a form for families to complete.
- Distribute the form to Steele families in the Thursday folders.
- Collect the information and compile the directory.
- Select a printer and deliver the directories to Steele families in the Thursday folder.
- Provide an update during PTA meetings.
Greening of Steele
Twice a year, the Greening of Steele chairperson organizes a cleanup of school grounds by students.
Volunteer hours per week:
Duties:
- Work with the principal to identify two days per year when each classroom will go outside and clean a certain area of the school.
- Divide the school grounds into 12-14 areas and assign each classroom a time and location to clean.
- Contact families and organize tools for cleaning: trashcans, rakes, shovels, brooms, wheel barrows for people to use.
- Organize parents to help supervise the children during the cleaning.
- Organize refreshments: water, treats, and popsicles for the students.
- Provide an update during PTA meetings.
PTA Newsletter Editor & Website Administrator
The PTA newsletter provides updates, reminders, and articles about all PTA activities, events, and fundraisers. Published monthly during the school year, the newsletter also includes updates from the school principal, PTA President and CSC President. The PTA website contains calendars, meeting minutes and agendas, copies of the newsletter and other information pertaining to PTA activities and events.
Volunteer hours per week: 2 - 3
Duties:
- Schedule the monthly publication of the newsletter.
- Solicit, write and edit articles.
- Lay out the newsletter and obtain a final review and approval from the principal.
- Work with printer to publish the newsletter.
- Distribute the newsletter in Thursday folders.
- Update the website regularly with meeting minutes, newsletters, agendas, important dates, and information from other PTA committees.
- Record the number of visits to the website.
- Provide an update during PTA meetings.
Legislative Liaison
Volunteer hours per week
Duties:
- Attend PTA day at the State Capitol in the spring.
- Meet legislators and learn about new education trends in Denver, Colorado and the country.
- Update the PTA on important education and fiscal programs that may affect of children and school.
Box Tops for Education
Families clip-and-save General Mills box tops from their discarded groceries and turn them into the Steele office where the PTA sends them off the GM for a donation the Steele.

Campbell's Soup Labels
Families clip and save Campbell's soup labels from their discarded groceries and turn them into the PTA. Steele receives educational supplies and equipment in return for the labels.

Pizza Night
Pizza nights are fundraising opportunities for the school where 15-20% of pizza purchases from anyone who mentions "Steele" are given back to Steele for classroom supplies.

Steele Elementary's faculty is represented by two persons who attend the PTA meetings.

Cultural Enrichment & Assemblies (Co-Chairpersons)
This committee schedules from 5 presentations per school year. Past events include: a Native American speaker, Irish step dancers, a marimba musical band, science demonstrations, and Earth Day educational activities. The events are usually split into two assemblies held in the school auditorium: one for the primary grades K-2 and one for the secondary grades 3-5
